Frequently Asked Questions (FAQ’s) for Obtaining and Installing the CFRS Software

  1. What is my Provider Agency Number?

    • Check your previous submissions, or call your funding State Agency:
      • OMH: 518-473-3572
      • OPWDD: 518-402-4275
      • OASAS: 518-485-2207
      • SED: 518-474-3227
  1. Should I backup my CFRS database before I download a new version?

    • Yes. You should always create a backup of your database before you modify the software in any way, including installing a new version. Please take a look at the Backup and Restore instructions in order to get a better grasp of the process.

  2. What is the Check button and do I have to check or verify the Provider Agency Code in order to download the CFRS Software?
    • The Check button validates the Provider Agency Code against the Master provider table. If your Provider Agency Code is invalid or the name has changed, you can contact your funding State Agency to update the file (see Question 1 for contact numbers).

      While you are not required to check your Provider Code, we recommend you do check it, in case changes have to be made to your provider name or your provider code. You will need a valid Provider Agency Code to upload your submission. If you need your provider information updated, please contact your funding State Agency (see Question 1 for contact numbers).

  3. Downloading the software takes too long. Can it be mailed to me?
    • Yes. Call the OMH Help Desk at 1-800-HELP-NYS (435-7697) to have a copy of the software mailed to you.

      Note: When you speak to the Help Desk personnel, please give them the below information. This will preclude us from having to call you back to obtain the information and will allow us to get the CD out to you in a more expeditious manner.

      1. Your name and position
      2. The name of your organization
      3. Your complete mailing address, including address, city, state, and zip code
      4. A contact number (where we can reach you in case we have questions)
      5. Your email address
  1. When I download the CFRS software from the CFRS Web site, should I open it or save it?

    • We recommend that you create a folder (for example, "C:\CFRTemp") and save the file there.

      Note: We do not recommend you run the installation file from the website. This procedure requires a stable internet connection throughout the install procedure, which can take quite a while depending on the type and speed of your internet connection, especially if the using Dial-up or a slow DSL connection. All too often we have seen users experience a variety of difficulties with this manner of installation, usually due to internet connection stability issues, which are outside of our or the users’ control.

  2. I downloaded the software and thought I saved it in the right place but now I can’t find it.

    • The software setup file name will include cfrs, the version number and the word setup. It will end in .exe. Example: CFRS Setup file names are listed below:
      • cfrs_15.0.156_full_setup.exe is the setup file for version 15.0
      • cfrs_15.0.156_min_setup.exe is the "minimal setup" setup file for Version 15.0, for users who have had a prior version of the CFRS software installed on their system, and do not require the additional supporting files which are packaged with the "Full Version" setup files.
    • Use the Windows ’Find Files’ or ’Search’ feature and search on cfrs*.exe
      Write down the name of the directory (folder) in which the file is located. You will need to navigate to that location and run the file. You can also run the file from the search results window by double clicking on the file name.

    • If you are unable to locate the file, then download it again and write down the name of the directory to which you are saving it; be aware that downloading it a second time will take up extra disk space. Ideally, you should note the downloaded file’s name, and then remove/delete the extra copy.

  3. Can the software be installed onto my Local Area Network (LAN), so more than one user can work on it?

    • Yes but only one one user can access a given submission at a time. See shared network installation for a description of the installation process.

      Note: This is a workaround and should only be attempted by a Network administrator. The CFRS application is designed to be a stand alone package, for a single user, on a single PC.

  4. I seem to be unable to install the software onto my new PC. Our department was just given new computers. I was able to install software on my old PC, but now I cannot on my new system. What can I do?

    • Most likely, your new system is running Windows 2000, XP Professional or Vista. If indeed that is the case, then it is likely that you do not have full Administrative privileges on the system. In order to successfully install the CFRS software on PC’s having Windows 2000,Windows XP Professional or Vista, users must have full Administrative privileges. Users who do not have these rights will need the assistance of their Computer or Network Support personnel to successfully install the CFRS Software. These rights are not required to run the software once it is properly installed.

      Administrative privileges are typically only assigned to specific computer system support and network administration personnel in order to better secure business systems and networks.

  5. I am having difficulty printing the CFRS .pdf schedules and forms. Is there anything I can do to fix this? I need to be able to print the schedules on legal paper.

    • If you do not already have the Adobe Acrobat Reader installed on your computer, follow these instructions to obtain and install a free copy of the Acrobat Reader software. Even if you do already have the Reader software installed, in order to take advantage of new printing options, users are strongly advised to upgrade to the most recent version of the Adobe Acrobat Reader software.

  6. Are there any updates available for the CFRS Software?

    • Check the CFRS Software Updates Page (updates should only be applied if experiencing problems with your current installation of the CFRS software, or as directed by the CFRS Help Desk)
